As the Optimist year draws to a close, clubs begin preparing for a smooth leadership transition. One of the most essential administrative tasks during this time is submitting the Club Officer-Elect Report by May 20. This report ensures that new officers are properly recorded in the system and ready to assume their roles on October 1.
In this video, Governor Sean Mueller breaks down the submission process into simple steps, guiding you through what to expect and how to complete the report correctly and on time.
Why the Club Officer-Elect Report Matters?
Submitting this report by the required deadline not only keeps your club in good standing but also ensures that incoming officers have access to leadership tools, Optimist Leaders, and important communications from Optimist International. Clubs that do not submit their officer lists risk missing out on critical updates and may face challenges during the transition period.
Step-by-Step Tutorial
1. Log in to Optimist Leaders
Visit the Optimist International website Then select the Optimist Leaders Login in the upper left-hand section of the website.
2. Select Your Club
If you’re part of multiple clubs, make sure you select the correct one. Only current officers, such as the Club Presidents or Secretaries have access to submit officer-elect reports.
3. Choose “Club Officer-Elect Report”
From the Club Roster menu, click the “Club Officer-Elect Report” button at the bottom of the page or click the “Reports” button on the top toolbar. This is where you will enter the details of the newly elected officers.
4. Input Officer Information
Select the new officers for each role from the dropdown list of club members. Be sure to verify names and email addresses to avoid errors.
5. Confirm and Submit
Once all officer positions are filled in, review the report for accuracy. Click “Submit” to complete the process. A confirmation message should appear, and the new officers will be recorded in the system.
Tips for a Smooth Submission
- Submit early: Don’t wait until May 20. The earlier your club submits, the sooner new officers can begin accessing leadership resources.
- Double-check eligibility: Ensure that members assigned to officer roles meet eligibility requirements (i.e., are paid members).
- Keep a copy: Download or print a copy of the confirmation page for your club records.
Final Thoughts
The Club Officer-Elect Report is a foundational step in preparing for the upcoming Optimist year. Taking a few minutes now to submit it properly sets your club up for success and demonstrates your commitment to leadership excellence.
